April 7, 2017

File a diploma application by logging into MyOSU, click on “Student Records”, then “Apply for Graduation”. All students graduating spring term must file a diploma application regardless of whether or not they will attend commencement.

April 20, 2017

For Doctoral Students Only: The title of your dissertation and major professor’s name(s) will be in the commencement program. Please email this information to Julie Kurtz no later than April 20, 2017 to ensure your title is included in the program.

April 28, 2017

Confirm commencement attendance by logging into MyOSU, click on “Student Records”, then “Commencement Attendance Confirmation”

Degree Requirements Deadlines
In addition to meeting the above commencement deadlines, meeting the following deadlines ensures that a student will not only be able to participate in the commencement ceremony but also receive their actual diploma at the ceremony. Students completing all spring term degree requirements after the below deadlines but before June 17th may participate in commencement but will receive an empty diploma case at the ceremony.

Thesis and Dissertation students: Successfully complete final defense. Schedule two weeks prior with the Graduate School using the exam scheduling form.

Upload final copy of Thesis/Dissertation to ScholarsArchive and submit additional documents to Graduate School

June 2, 2017

Non-thesis students: Successfully complete final defense. Schedule two weeks prior with the Graduate School using the exam scheduling form.

June 9, 2017

Clear all remaining degree requirements, including:

  • Incomplete grades must be submitted
  • Final exam paperwork must be submitted to Graduate School
  • Any final revisions to uploaded thesis must be submitted

Doctoral Students

Commencement Program

The title of your dissertation and major professor’s name(s) will be in the commencement program. If your exam is spring or summer term and your pretext pages are not submitted by April 20, 2017, please email this information to Julie Kurtz no later than April 20, 2017 to ensure your title is included in the program.

Escorts

If attending you need to arrange to have your major professor or other designated faculty member to escort you. Your major professor will be receiving an email, but it’s important for you to communicate to ensure an escort is arranged.

Regalia

Regalia can be purchased at the Beaver Store for both students and faculty.  There will be a Grad Fair at the Beaver Store Monday, April 24th and Tuesday April 25th from 10 a.m. – 4 p.m.

Why are the Commencement deadlines for the final defense so early?

The early deadlines are necessary to prepare for Commencement planning, and to ensure you receive your diploma at the Graduation Ceremony.

Is there any flexibility in the deadlines?

The deadline for Applying for Graduation (diploma app) and Confirming Attendance are for the commencement program and marching order list, so it’s important to try and meet these deadlines. It’s better to say you’re attending than to try and add you in later, even if you’re not sure. The final defense date and completing all degree requirements, including uploading the final copy of your thesis, can be flexible. It’s important to communicate with the Graduate School, by emailing Julie.Kurtz@oregonstate.edu. If your final defense is scheduled very late in the term, especially if it’s a thesis defense, then it’s possible you may not receive your diploma at the ceremony.

Can I have my final defense on finals week and still attend Commencement?

Yes, but if it’s a thesis defense and the final thesis is not completed by June 16, 2017, then it will be a summer diploma. Master’s non-thesis signed exam paperwork must be returned to the Graduate School by June 14th in order to receive your diploma at Commencement.

What if I have to cancel my final defense at the last minute but my parents already have made travel arrangements, can I still attend?

Yes, if you plan on completing your degree summer term. Fill out the form, get signatures and submit it to the Graduate School by the deadline.

Why do I have to fill out the form if completing summer term and attending Commencement?

Many times students think they are close to completing all degree requirements, but the major professor might not agree. The signatures and approximate defense date confirms a summer diploma.

What if my professor won’t sign the form?

You would not be able to attend the June 2017 Commencement Ceremony. You would be invited to attend next year.

Once the deadlines have passed and I decide I want to attend Commencement can I still participate?

Possibly; Please email Julie.Kurtz@oregonstate.edu to work out the details. Make sure you Apply for Graduation and Confirm Attendance.

How do I register for Commencement?

Log into MyOSU Portal, Student Records, and Commencement Attendance Confirmation to confirm your attendance. If you decide not to attend, you cancel under Commencement Attendance Confirmation.

Am I eligible to receive my diploma at Commencement?

Yes, if you complete all degree requirements including submitting the final thesis/dissertation to ScholarsArchive by the deadlines.  If you have an exception to complete your requirements at a later date within or by the last day of the term you may receive a blank diploma case.  If so, stop by the Graduate School Monday afternoon, after Commencement, to pick up your diploma.

Can I wear an honor cord?

All grad students are considered honor students, so honor cords are not worn.

If I have special needs who should I speak with?

Students with disabilities who plan to attend Commencement and who may need special accommodations should email the Registrar’s Office registrar@oregonstate.edu. Put in the subject line, “Accommodations for Commencement”, or call 541-737-4048 to make arrangements by May 6, 2017.
